The terms on which we sell and run our trips. Read alongside the cancellation policy.

This is a starting point, not legal advice. Every figure in square brackets is a placeholder for the agency to set, and the whole document needs review by the agency and a qualified lawyer before the site goes live. Indian consumer and data-protection law applies here and neither is covered exhaustively below.
1. Who you are contracting with
Your contract is with [Registered entity name], trading as TFC World Tours, at [registered address], [GSTIN / registration number]. In these terms “we” and “us” mean that company, and “you” means the person making the booking and everyone travelling on it.
The person who makes the booking confirms they are 18 or over and are authorised to accept these terms for everyone in the party.
2. Quotes
- Prices shown on this website are per person, in Indian rupees, and indicate the cost of the trip as described. They are not an offer.
- A written quote is valid for [14] days and is subject to availability at the time you accept it.
- Quotes are based on costs, taxes and exchange rates at the date of quoting. Until a booking is confirmed, we may need to requote if any of those change materially.
- What is and is not included is listed on each trip page and repeated on your quote. If something is not listed as included, assume it is not.
3. Confirming a booking
- A booking exists only when we have received your deposit of [25]% of the trip cost and sent you a written confirmation. An email acknowledging your enquiry is not a confirmation.
- The balance is due [45] days before departure. For bookings made inside that window, the full amount is payable at confirmation.
- If the balance is not paid by the due date we may treat the booking as cancelled by you, and the cancellation policy applies.
- Please check your confirmation carefully and tell us within [48] hours if anything is wrong, particularly the spelling of names, which must match travel documents.
4. Prices after confirmation
Once confirmed, your price is held except where a government changes taxes or levies, or a supplier imposes a fuel or similar surcharge outside our control. In that case we will pass on the actual increase and nothing more, with evidence, and if it exceeds [8]% of the trip cost you may cancel with a full refund of what you have paid.
5. Changes by you
- Tell us in writing as early as you can. We will do what we can, but changes depend on availability and on what our suppliers allow.
- An administration fee of [₹2,500] per change applies, plus any cost the change itself creates.
- Substituting a traveller is usually possible up to [14] days before departure, subject to permits, flights and the supplier’s rules.
- A change of departure date close to travel may be treated as a cancellation and rebooking.
6. Changes by us
Itineraries are planned carefully but run in the real world. Weather, road and river conditions, permit decisions, strikes, and the availability of guides or accommodation can all force a change.
- Minor changes - a different hotel of comparable standard, a reordered day, a substituted activity. We will tell you but there is no compensation.
- Significant changes - a change of departure date, a materially different route, or a drop in accommodation standard for most of the trip. You may accept the change, move to another trip with any price difference settled, or cancel for a full refund.
- Safety decisions in the field are final. On high-altitude and mountain routes in particular, your guide may shorten, reroute or abandon a day, or require a traveller to descend. We will not continue where we judge it unsafe, and doing so does not entitle you to a refund for that portion beyond what section 7 provides.
7. If we cancel
We may cancel a departure if too few people book - we will tell you at least [21] days before departure - or for reasons under section 10. You may take an alternative trip or a full refund. Except where the cause is outside our control, we will also cover reasonable, evidenced costs you cannot recover elsewhere, up to [₹10,000] per traveller.
8. Your responsibilities
- Hold a passport valid for at least [six] months beyond your return, plus any visas and permits your itinerary requires. We will tell you what is needed, but obtaining them is yours.
- Hold travel insurance. We require it. For mountain itineraries it must cover high altitude to the maximum elevation on your trip, and emergency evacuation. We may ask for your policy number before departure.
- Tell us at booking about any medical condition, medication, allergy, dietary need or mobility limitation that could affect your travel or the group. This is a safety matter, not a formality.
- Behave reasonably towards your group, our staff and the people and places you are visiting. We may remove someone from a trip, without refund, if their behaviour puts others at risk or seriously disrupts the trip.
- Arrive at the times given. We cannot delay a group for latecomers.
9. Our liability
- We are responsible for arranging the services described in your confirmation with reasonable skill and care.
- Where a third party supplies a service - airlines, hotels, railways, activity operators - their own terms and the applicable international conventions govern their liability.
- Except for death or personal injury caused by our negligence, and anything else that cannot be limited under Indian law, our total liability to you is limited to the amount you paid us for the trip.
- We are not liable for services you arrange yourself, including flights booked separately, or for activities you take on outside the itinerary.
10. Force majeure
We are not liable for failing to perform where the cause is outside our reasonable control. That includes war and civil unrest, terrorism, epidemic or pandemic and the measures taken against it, natural disaster, flood, landslide, avalanche and extreme weather, fire, strikes, the closure of airports, roads or passes, and the decisions of governments and permit authorities.
Where this happens we will refund what we can recover from suppliers, after deducting costs already committed on your behalf. This is often less than the full price, which is why insurance matters.
11. Complaints
Tell your guide or local representative at the time - most things can be fixed on the spot, and almost nothing can be fixed afterwards. If it is not resolved, write to tfcworldtours@gmail.com within [28] days of returning with your booking reference and what happened. We will acknowledge within [7] days and respond fully within [28] days.
12. Photography
We sometimes use photographs taken on our trips in our marketing. Tell us in writing if you would rather not appear, and we will not use images of you.
13. Governing law
These terms are governed by the laws of India, and the courts at [city] have jurisdiction. Nothing here limits your rights under the Consumer Protection Act, 2019.
