Cancellation policy

What happens if you cancel, if we cancel, or if something outside anyone's control cancels the trip.

Every figure in square brackets is a placeholder for the agency to set, and the whole document needs review by the agency and a qualified lawyer before the site goes live. Indian consumer and data-protection law applies here and neither is covered exhaustively below.

Why there are charges at all

We commit money on your behalf well before you travel - guides and drivers are booked, permits are applied and paid for, hotels and homestays take deposits, and internal flights and trains are bought at non-refundable fares. The closer to departure you cancel, the more of that we cannot get back. The bands below reflect that, not a penalty.

If you cancel

Charges are a percentage of the total trip cost, not of the deposit, and are calculated from the day we receive your written cancellation.

These bands are indicative. The figures that apply to you are the ones printed on your booking confirmation, which take precedence over this page if they differ.

Always non-refundable

Some costs cannot be recovered at any notice, and are charged in addition to the percentages above:

  • Visa and permit fees already paid or applied for.
  • Non-refundable air and rail fares booked at your request, including most domestic fares.
  • Deposits our suppliers will not return, particularly for peak-season houseboats, lakeside camps and festival dates.
  • Travel insurance premiums.
  • Bank or payment-gateway charges on the original payment.

Cancelling one traveller from a group

If someone drops out and the rest still travel, the remaining travellers may move to a higher per-person rate, because room sharing and vehicle costs change. We will tell you the revised price before you decide.

How to cancel

Email tfcworldtours@gmail.com with your booking reference and the names of anyone cancelling, or call +91 99161 32808 and follow up in writing. Your cancellation takes effect when we receive it, not when you sent it, so please confirm we have it if you are close to a band boundary.

If we cancel

  • Too few travellers. Some departures need a minimum group size. We will tell you at least [21] days before departure and offer an alternative date, a different trip with any difference settled, or a full refund.
  • Our fault. Full refund, plus reasonable evidenced costs you cannot recover elsewhere, up to [₹10,000] per traveller.
  • Safety. If we judge a route unsafe we will not run it. Where possible we reroute; where not, the force majeure terms below apply.

Cancellation mid-trip

If a trip is cut short after it has begun, we refund the portion not delivered, less costs already committed. We will help with rearranging onward travel, but the cost of that is yours and is normally an insurance matter.

Force majeure

Where a trip cannot run because of something outside our reasonable control - the events listed in section 10 of our terms and conditions - we will refund whatever we are able to recover from suppliers, after deducting costs already committed on your behalf.

This can be considerably less than the full price, and in some cases close to nothing. We will show you what was recovered and what was not. Where a refund is not possible we will try to offer a credit valid for [12] months instead.

How refunds are paid

  • To the original payment method, to the person who paid, within [14] working days of us confirming the amount.
  • International transfers may take longer and may carry bank charges, which are deducted from the refund.
  • Refunds are made in Indian rupees. If you paid in another currency, the amount you receive depends on the exchange rate on the day and may differ from what you paid.

Insurance

Most cancellation charges are recoverable under a travel insurance policy if you cancel for a covered reason such as illness, injury or bereavement. Buy your policy when you book, not nearer departure - cover for cancellation generally starts from the date of purchase, so a policy bought later will not cover anything that has already happened.
